When I said 40-45, I assumed that we split the auditions, either into two parallel sessions in two rooms or three parallel sessions in three rooms-so the rooms would be large enough for either 1/2 or 1/3 the total number of attendees.

Thats right, but usually its one conf room, three not sure. Will 450 per person be fine?

I agree-what we need is 2/3 mini conf rooms to conduct multiple sessions, in small groups. Yes 450/head is very attractive as a rate.

Could also consider Pai Viceroy at Jayanagar. They have 2 banquet halls Banquets & Conferences | Hotel Pai Viceroy, Jayanagar, Bangalore. Costed me Rs. 500 per head for dinner and free use of one hall, when I booked for a total of 60 people a year ago.

At this point we have 35 who have expressed their interest in attending. If there is an entry fee of, say Rs 300-400,( assuming that the venue is a central location( not the Anutone office) and the subsidized lunch cost is around Rs 900+ per head, would any of you drop out?

OK folks so here's the latest. I have met Byju Chacko of Analogue Audio Labs and he has confirmed his willingness to come and exhibit some of his products, hope to meet or talk to Audio People in Chennai tomorrow, and during the course of this week we will finalize the venue as well as freeze the number. I'm asking all those who are interested in attending to PM me their personal email ids to take this off list and save bandwidth. We will communicate details about plans, costs, venue, timings, special offers if any, etc to attendees. Our group has volunteers and we will share the tasks among us-John Antony,Santhosh, Vivek Rao, Shiva(Soundnovice) and me.

Just to add, over the last weekend the team managed to check out banquet halls, board rooms etc at 6 business hotels in Central Bangalore. Out of these, 2 seem to fit our requirements from size, system placement and cost standpoint. We plan to inspect the two places again during the week to discuss our requirements, availability, dates etc. We'll be able to share some details early next week.

Thanks to Capt Rajesh@ Chennai I just spoke to Harish at Audio People and plan to meet him tomorrow afternoon. I've got PMs with personal email ids for 5 people so far confirming their interest, will send out updates and have the final list by the weekend, after which we will freeze on the numbers and get the registration and fund collection started.
