Sameer - Looks great. I am fine with it. I will try to come today but I will be in Secunderabad around 7 so it may be difficult to come there. Regardless I am in agreement with the hall. Hope Sachin can make it.

Sameer and me visited Ken's hotel today. The place looks good for our purpose and willing to make the necessary arrangements.

We have gone ahead and made the deposit payment of 2000 rs.

So guys we are ON !!!! :)

Next steps :

I request folks to confirm and make the payment of 500/-. We could do as Tanoj mentions and meet up for at the venu for collection or one of us can accept payment to our account.More details on this shortly.
Ofcourse the fee of 500/- would come down as we get more members and this can be adjusted/returned back to the members.

Some notes :
1. The fee is only towards usage of the conference room (total 8K)
2. The hotel serves buffet meals as Sameer mentioned and we can either opt to eat there or venture outsiude. Some good joints around SriNagar colony. This is not included in the fee.
3. Members need to arrange thier own transportation for thier gear, but i am sure we can share rides and work out the logistics.
I can safely carry another 3 members and thier gear in my truck;)

Sameer please add anything i missed out.

Not sure about the TV. There is an overhead projector, but i guess there will be additional cost involved to use. Anyway we can ask them.

btw we need to plan for audition soundtracks, feedback forms etc.. boy i am getting excited :)
 
Great to hear that -Many thanks to Sameer & Sachin particularly for viewing and reserving the hall and other members for contributing options. Regarding the actual display and audition of equipment, IMO we have two options:
1. Each member who brings in equipment tries to display his equipment in different parts of the room (not sure how this will work, b'coz one would have to carry all the equipment of the system - or one would have to consolidate different equipment into systems).
2. There is one main system set up, and members interchange their equipment into this and audition (easier than the first as one can bring just few or one component). One disadvantage of this, we can never really get a proper set up as this is a large space and only large floor standers with commensurate amplification will be able to fill it with decent sound.
I think we need to decide on this. Members/Participants please let us know your views. I am ok with both.

As regards what Sidvee said, think it wud be much easier to have all equipment at one place and keep changing ....we can have a proper comparison in this case. Also, in case of option 1, the member would have to carry his whole system which may be difficult ..

Thanx stereorules. Regarding speakers so far we have participants bringing these:

PSB Image B6
Paradigm Signature S4
Usher Mini dancer 2
Quad 11l2
B&W n805

One option we have is to split these into two categories - Book shelves and floor standers and have 2 setups, one near field and one more spread out. I believe that the hall can be split into two sections. I will be going there at 11 am today and will confirm back. That way we can probably maximize the SQ of the set ups. I am not sure about other speakers here, but I know my 805's perform best when listeners are at approx. 7-8' away.
Source and amplification can be rotated between these two set ups.
Finally what about speaker stands?
I will bring in a pair of 24" tall stands partially sand filled that work decently with my 805's. Others can use these. If taller or shorter stands are needed request other participants to bring them in, if they have any.

IMO, each participant should bring in his complete equipment including cables etc, because they are most compatible/sync to each other and participant knows what kind of sound it delivers

2. we can arrange a long table at one side of the hall, so that every once can place their equipment side by side and one by one everyone will get his turn to play his device , that way we can get to hear wide range.

3. like others said everyone can get any one device , that will not be a great idea , because, suppose one gets his TT and he will have to just hope that he would find a compatible Amp and speakers of others to play it
 
How about inviting selected dealers who can bring good equipment?.If they are keen to participate, should we charge any participation fee?.

My opinion, Sameer - they can either sponsor the meet or at-least pay a major portion of the hall charges. That amount can be refunded to the participants.

Secondly I visited the venue today - nice hall. And as I said before it can be divided into two. One large and one small. So we do have the option to split the systems into large floor standers and small stand mounters.
Just for perspective, the total hall can hold 150 people - so it is large hall.
