Hyderabad HFV meet ? Interest check

I will wait for others to pitch in , but if we can get the numbers it sounds like a great deal considering it includes lunch as well.

Here's the deal if you are interested in it:

2 medium sized meeting rooms + 1 board room
Morning tea + Non Veg Buffet Lunch + Afternoon Tea
Bottled water service at the meeting rooms.

Price Rs 500 per head for a 50 persons.

This is pretty much at cost for the hotel considering the food, meeting room lighting and electricity (genset power is expensive) and full service. Have asked them to block the floor for April 14th and 28th. Will have to confirm the dates eventually.

I sure hope you can join us.. and the meet might be on 14th itself.. and I guess you will be available by then .. lets see if people can make it ....once again.. a sweet deal Nikhil.. Guess the organizers should meet up this weekend if possible and check out the venue(If everything is agreeable) .. I know I'd be glad if you are there too.. and also can you give the approximate size if the rooms to aid planning as well as more positive incentive, for now. :signthankspin: :clapping::ohyeah::signthankspin:

For the organizers, IMO, 500/ head is no big deal, but I would be concerned about the 50 people attendance. Anyways the organizers will have to get in touch with the Sponsors to see how much of the Rs25k they are willing to dole out as sponsorship fee, and the remaining amount should be divided amongst an estimated 20-25 participants (I assume that would be a good guesstimate of how many paying participants will actually turn up based on last times numbers).

For outstation FMs who would like to be part of the meet, special room rate of Rs 2,500 incl breakfast.
The venue is centrally located to local shopping areas and within reasonable distance to some city attractions.

Booking will have to be made in advance if anyone would like to avail of this offer.

AFAIK, board room has a table at the centre which cannot be removed because there would be so many fixtures like mikes, LAN cables for laptop connectivity etc. Do confirm that they are removable.

That's a three star Hotel and 500/- appears to be a decent pricing. Is it all inclusive? Also, minimum guarantee of 50 pax would be a loss to us. Try to get it reduced to 40 pax.

The board room table is not movable but the chairs are.
It might be a decent room for some of the smaller setups with bookselfs etc.

Venue arrangements however will be top notch ;)

Let the guys take a look at the place over the weekend first.

Hey Nikhil, I think there is some misunderstanding. The price is definitely very reasonable.

My point is different. If the minimum number of participants we would be paying would be for 50 and your participants are say 25, even if you add the staff of the sponsors (5 average so total of 10) the total number of people charged would be 50 so the total becomes 25000/- which works out to about Rs. 715/- person. If we can get the minimum guaranteed figure to 40, then the total becomes 20000/- and per head rate comes to about 570/-

Only ensure that the participants and sponsors put together are equal to the minimum guarantee. Anything more then the per head cost would increase.

I agree that Rs25000 is very competitive but still ----?
 
Equipment that would be displayed by Analogue Audio Labs.

VP-845 - 35 WPC Class A Single Ended Integrated amp based on 845 Tubes.
A-150 - 50WPC Class AB Push Pull Integrated amp based on KT88 Tubes.
A-101i - 18 WPC Hybrid Integrated amp with 6N1 tubes in pre stage and MOSFETs in the power stage.

Equipment that could be displayed by Audio People includes the following brands depending on the size of the venue and listening preferences of the members.

Pathos amplifiers
MBL amplifiers and speakers
Acapella speakers
Avalon speakers
Thiel speakers

I think a little thought needs to be made here in view of the value of the equipment being brought by the sponsors. I think first and foremost the sponsors should send a representative to see the venue and check on the conditions before hand. The Audio People gear is pretty serious gear that needs to be setup properly and needless to say - some etiquette in terms of proper handling of the equipment at the meet should be established.

Perhaps some of the organizers of the previous meet could weigh in on this as well ...

The next possible option is to take the two meeting rooms only. They may just throw in the boardroom for free if its not being used. In that case the meeting rooms would cost about Rs 8,000 each bringing the total venue cost to about Rs 16,000/-

There are plenty of options nearby for snacks and food if people just want to have a light bite instead of a full lunch.

Will call the hotel again and see what is possible in this direction as well.
 
I was only making a point that we may not have 50 participants .
I think a lunch at the Venue itself will be a better idea as that way all of us will show up at least at lunch time:)
Lets not give up the board room.

I am hoping that the senior members will give us some Gyan on their experiences and clear some doubts - and the Board room will be useful for this.

So lets move ahead with 25K budgeted.

Just in case budget is a problem, I confirmed with the hotel that just rental of the meeting rooms will come to Rs 12,000 + taxes. We can get the boardroom thrown in for no cost. Everything else can be ordered a la carte. This is the best possible price for the venue.

12K plus taxes comes close to about 14 to 15K which when divided by Rs. 500/- comes to cost of participation of 28 to 30 members. Over and above this if we are to order la carte, it becomes very expensive.

Could you kindly try to reduce the 'minimum guarantee' to 40 odd participants (which includes the sponsors)

Niiiiiiice!!!! now I presume as far as my experience goes.. the only matter w.r.t the venue confirmation is the organizers checking it out and if satisfied .. lets go for it.... boi am I glad Nikhil has a Bro in law in hotel business :D Phew!! now the rest I presume is not gonna be uphill at the least... also guys what do you say about Entering ICS/Speaker cables in the spreadsheet too :rolleyes: Also about the songs that are gonna be played... for the source and how ???
